HuntPartner LLC — Terms & Conditions. Effective date: October 27, 2026
1. About HuntPartner and these Terms
These Terms & Conditions (the "Terms") cover your use of huntpartner.com and huntpartner.org (the "Website"), any purchase from our online store, and any hunt, safari, or trip you book through HuntPartner LLC ("HuntPartner," "we," "us"). "You" and "client" mean the person using the Website or making a booking, and every hunter, observer, or companion included in that booking.
HuntPartner is a hunt broker and booking agent. We match hunters and adventurers with independent outfitters, professional hunters, guides, lodges, and travel suppliers (together, "Providers") in Africa, South America, North America, and elsewhere. HuntPartner is not an outfitter or guide service. We do not own, operate, or control any Provider, camp, concession, vehicle, aircraft, or firearm, and we do not employ any Provider's staff. Each Provider is an independent business and is solely responsible for the services it delivers, including the safety, conduct, and legality of the hunt.
Each booking is documented in a written booking confirmation and hunt contract that we send you, together with the Provider’s own rules and price list. Each hunter signs and returns it before the booking is final. If the signed contract and these Terms conflict, the signed contract controls. HuntPartner may receive compensation from the Provider for arranging your hunt; there is no separate service fee to clients beyond the price quoted in your confirmation.
2. Refund and cancellation policy: hunt payments are final
Because Providers reserve camp space, guides, licenses, and quota for you as soon as a hunt is booked, every payment you make toward a hunt is final once it is paid, whether you paid it to HuntPartner or directly to the Provider. This includes the deposit, the balance, and any license, tag, or permit fees paid on your behalf.
- If you cancel or postpone a booked hunt, for any reason and at any time, no part of the deposit or any later payment will be refunded, and any unpaid balance remains due under your hunt contract.
- The price is not reduced, and no extra days are added, if you arrive late, miss the scheduled start date, leave before the hunt ends, fill your tag early, or choose not to use any included service.
- No refunds are given because of weather delays, poor hunting conditions, or the closure of a hunting area or season (see Section 7).
- We strongly encourage you to buy trip cancellation and interruption insurance so that you are protected if work, injury, illness, a death in the family, or another event keeps you from traveling (see Section 5).
- Goodwill option: if you cancel, HuntPartner may, at its sole discretion and subject to the Provider’s agreement, allow your deposit to be applied once toward another hunt booked through us that starts within 12 months of the original start date. This is never a right to a refund.
- The only exception to this policy is a cancellation by the Provider or by HuntPartner, which is covered in Section 6.
3. Booking, deposit, and payments
To book a hunt, you pay HuntPartner a deposit of US$1,000 per booking, unless your booking confirmation states a different amount for that hunt. The deposit is always paid to HuntPartner, is charged at the time you book, and your dates are not held until it is received. The deposit is credited toward the total price of your hunt and is shown as a credit on your hunt contract.
Your booking confirmation states whom to pay the balance to and by when. In most cases, the balance is paid to HuntPartner, and we forward it to the Provider on your behalf. For some hunts, the confirmation will instead direct you to pay the balance directly to the Provider. Please do not pay a Provider directly unless your booking confirmation or HuntPartner tells you to in writing. Collecting and forwarding payments does not make HuntPartner the operator of the hunt or responsible for the Provider's services.
Payments you make directly to a Provider are also governed by that Provider's own payment and refund terms. HuntPartner can refund only amounts that HuntPartner itself received and holds, or recovers from the Provider. HuntPartner may receive compensation from the Provider for arranging your booking, whether you pay the balance to us or to the Provider.
The balance is due by the date stated in your booking confirmation, which follows that Provider's payment schedule. If you book after that date has passed, the full price is due at booking.
Trophy fees, wounded-animal fees, and other charges incurred during the hunt that were not prepaid will be invoiced by HuntPartner after the hunt, based on the Provider’s final invoice, and are due within 14 days, unless your confirmation says they are settled directly with the Provider, in camp or after the hunt.
You may pay amounts due to HuntPartner online by credit or debit card through our secure processor, Square, or by check mailed to our Cranberry Twp. address, or by wire transfer. We never see or store your full card number, and we do not add a fee for paying by card. Payments due directly to a Provider are made by the methods that Provider accepts, as stated in your confirmation. All prices are in U.S. dollars unless your confirmation says otherwise, and you are responsible for any bank, wire, or currency-conversion charges.
If a payment is late, whether it is owed to HuntPartner or to the Provider, we will notify you. If it is still unpaid 10 days after that notice, we may cancel the booking, and the cancellation is treated as a cancellation by you under Section 2.
4. Your acknowledgements and responsibilities
- You choose the hunt, country, species, and dates you book; we offer guidance in good faith, but the final decision is yours.
- You authorize HuntPartner to charge the card you provide for the deposit, any balance or other amount payable to HuntPartner, and any license, tag, permit, or application fees that you ask us or the Provider to purchase in your name, as listed in your booking confirmation, until you revoke that authorization in writing. Amounts your confirmation directs you to pay directly to a Provider are collected by the Provider under its own terms, not charged by HuntPartner. Fees paid to government agencies are non-refundable once submitted.
- You are responsible for keeping your contact, payment, and passport details current with us and for answering our messages and paperwork requests on time. Missed deadlines caused by outdated information or late replies may cost you a license, permit, tag, or your hunt dates, and are not grounds for a refund.
- If you dispute a valid charge with your card issuer instead of contacting us first, you will be responsible for the original amount plus any bank fees, dispute fees, collection costs, and reasonable attorneys' fees we incur, and we may provide your signed contract and these Terms to the card issuer. We may also cancel any remaining services.
- Deposits and all other hunt payments are non-refundable on cancellation by you, as stated in Section 2.
5. Trip cancellation, medical, and evacuation insurance
Insurance is optional, but we recommend it in the strongest possible terms. Every participant should carry a policy covering trip cancellation and interruption, medical expenses abroad, emergency medical evacuation and rescue, and lost or delayed baggage and firearms. Many hunting areas are far from advanced medical care, and evacuation can be very expensive. Some Providers and countries require proof of evacuation coverage before you hunt; where they do, that coverage is mandatory.
If you choose not to insure your trip, you accept the financial risk of having to cancel. Claims are handled under your own policy; we will supply booking documents to support a claim, but your refund rights with HuntPartner remain as stated in Section 2.
6. Changes or cancellation by the Provider or HuntPartner
Providers may need to change camps, concessions, professional hunters, vehicles, or itineraries for safety, legal, or operational reasons. We will tell you about any significant change as soon as we learn of it.
If a Provider cancels a confirmed hunt for reasons within its control, you may choose (a) a comparable alternative hunt or new dates, if available, or (b) a refund of the amounts you paid toward that hunt. We will refund the amounts you paid to HuntPartner, including your deposit, within 30 days of receiving the funds back from the Provider and will actively pursue their return for you. Any amounts you paid directly to the Provider are refunded by the Provider under its own terms; we will help you request them. HuntPartner’s refund obligation is limited to the amounts HuntPartner itself received and holds, or recovers.
HuntPartner may decline any booking, or cancel a booking before departure, for any lawful reason. If we cancel for a reason other than your breach of these Terms, we will refund all amounts you paid to HuntPartner, including your deposit, and that refund is our only obligation. Any amounts you paid directly to a Provider are refunded by that Provider under its own terms, and we will help you request them.
7. Weather, closures, and events beyond our control
Neither HuntPartner nor the Provider is responsible for delays or failure to perform caused by events beyond reasonable control, such as severe weather, wildfire, natural disasters, disease outbreaks, government action, changes in hunting regulations or quotas, closure of hunting areas or seasons, war, civil unrest, strikes, border closures, or airline schedule changes. No refunds are given in these situations. Where possible, we will work with the Provider to reschedule your hunt or offer an alternative, subject to availability and any added costs.
8. Prices, inclusions, gratuities, and non-hunters
Hunt prices are set by Providers. What is included (for example guide, lodging, meals, field transportation, land-access fees, and field preparation of trophies) depends on the hunt and is listed in your booking confirmation. Once a booking is confirmed, the price changes only to pass through increases in government fees, taxes, levies, or license costs beyond our or the Provider's control.
Unless your confirmation says otherwise, prices do not include: airfare and charter flights; hotel stays before or after the hunt; visas and passports; licenses, tags, CITES and other permits; trophy fees (where charged separately); firearm permits, rental firearms, and ammunition; dipping, packing, crating, shipping, and taxidermy; alcoholic beverages; insurance; and personal expenses.
Gratuities for guides, professional hunters, trackers, cooks, and camp staff are not included and are at your discretion, based on your satisfaction. We are happy to share the Provider's customary guidance.
Wounded game that is not recovered is usually treated as taken and charged the full trophy fee under the Provider's rules, and may end the hunt for that species.
Family members and friends who come along but do not hunt pay the Provider's non-hunter or observer rate and are bound by these Terms.
9. Licenses, permits, and trophies
You are responsible for holding every license, tag, stamp, hunter-education certificate, and permit your hunt requires and for meeting application and draw deadlines. We and the Provider can help, but no one can guarantee the outcome of a draw or permit application.
Many species, including elephant, lion, leopard, rhino, hippo, crocodile, bears, and certain cats and antelope, are regulated under CITES, the U.S. Endangered Species Act, or similar laws in your home country. Import permits are often needed before you travel, and some trophies cannot be imported at all. Before you hunt, you are solely responsible for confirming that your trophy can legally leave the hunting country and enter your home country.
Field preparation is normally done by the Provider. Dipping, packing, taxidermy, shipping, brokerage, customs clearance, and related fees and delays are your responsibility and are handled by third-party taxidermists, shippers, and brokers, not HuntPartner. We are not liable for trophies that are lost, damaged, delayed, seized, or refused entry.
10. Firearms and ammunition
If you travel with firearms or ammunition, you must comply with the laws of every country you leave, pass through, and enter, and with airline rules. This can include temporary import permits, transit permits, and, for U.S. residents, registering firearms with U.S. Customs and Border Protection before departure. These processes can take weeks and can change without notice.
We and the Provider may help with paperwork, but we are not responsible for permits that are delayed or denied, or for firearms or ammunition that are lost, damaged, delayed, or confiscated. Rental firearms, where offered, are supplied by the Provider on its own terms. Please be proficient with your firearm or bow before the hunt; your skill with your equipment strongly affects your results.
11. Travel documents, visas, and health
You are responsible for a valid passport (many countries require at least six months' validity and blank pages), required visas and entry documents, and any vaccinations or health certificates your destination requires. Please see your doctor or a travel clinic well before departure. Being denied boarding or entry because of missing or incorrect documents is treated as a cancellation by you.
12. Fitness, conduct, and youth hunters
Hunting can be physically demanding. You confirm that you are fit for the hunt you book and will tell us and the Provider in advance about any medical condition, disability, or dietary need that could affect your safety, so the hunt can be planned around it where possible.
Youth hunters are welcome. Anyone under 18 at the time of the hunt must be accompanied by a parent or legal guardian, who accepts these Terms on the minor’s behalf, and must meet the minimum-age and hunter-education rules of the hunting country, state, and Provider.
You agree to follow all applicable laws, the principles of fair chase, and the safety instructions of the Provider and your guide or professional hunter, who has final authority on safety and on whether a shot may be taken. A Provider may end your hunt without refund if you act unsafely, illegally, or unethically, are impaired by alcohol or drugs while hunting, or seriously disrupt the hunt or camp. Any fines, penalties, or costs that result from your conduct are your responsibility.
13. No guarantee of game or success
Hunting is the pursuit of wild animals in their natural habitat. Neither HuntPartner nor any Provider guarantees that you will see, get a shot at, or take any animal, or an animal of any particular size or quality. You pay for the hunting services, not for game taken. Past success rates, photos, and trophy sizes are information only, not a promise. No refund is due because game was scarce, the weather was poor, or the hunt was unsuccessful.
14. Assumption of risk and release
Hunting and travel involve inherent risks that cannot be fully removed, including serious injury or death from firearms, dangerous game and other wildlife, vehicles, aircraft, boats, falls, terrain, weather, insects and disease, food and water, remote locations far from medical care, political conditions, and the acts of other people. Dangerous-game hunts carry additional, significant risk. You voluntarily accept all of these risks for yourself and your property.
To the fullest extent the law allows, you release HuntPartner and its owners, members, managers, employees, and agents from all claims for injury, illness, death, loss, or damage arising out of or related to your trip, including claims based on the acts or omissions of any Provider.
15. Limitation of liability and indemnity
HuntPartner is not liable for the acts, omissions, negligence, insolvency, or default of any Provider or other third party, or for any loss, injury, damage, delay, or expense they cause.
To the fullest extent the law allows, HuntPartner’s total liability for any claim relating to a booking is limited to the compensation HuntPartner itself received for that booking, whether from you or from the Provider (not amounts forwarded to the Provider or paid directly to the Provider), and HuntPartner is not liable for indirect, incidental, special, consequential, or punitive damages, or for lost personal property, baggage, equipment, or firearms.
You agree to indemnify and hold harmless HuntPartner and its owners, members, managers, employees, and agents from any claims, losses, fines, and expenses, including reasonable attorneys' fees, arising from your conduct, your breach of these Terms, or your violation of any law. Nothing in these Terms excludes liability that cannot legally be excluded.
16. Online store: returns and exchanges
Hats, apparel, gear, and other merchandise bought from our online store can be returned only if the item arrives damaged or defective. To start a return, contact us first by email, phone, or mail (Section 27) and describe the problem; please do not ship anything back until we authorize it.
- Once we receive and inspect the authorized return, we will email you to confirm whether it is approved. If it is, we will send a replacement if one is in stock, or otherwise refund the full purchase price to your original payment method.
- Items bought on sale or at a discount are final sale and cannot be refunded.
- Exchanges are offered only to replace a damaged or defective item with the same item.
- You pay the cost of shipping a return to us, and original shipping charges are not refunded. For items worth more than US$75, we recommend a tracked or insured shipping service, as we cannot be responsible for returns that never reach us.
- If an approved refund has not appeared, please check with your bank or card issuer first, since posting can take several business days, and then contact us if it is still missing.
17. Online store: lost or stolen packages
HuntPartner is not responsible for packages that are lost or stolen after the carrier confirms delivery to the shipping address entered with the order. Please make sure your shipping address is correct before you check out.
18. Online store: shipping and delivery
Store orders ship to the address you provide. Orders are normally processed within 2 business days and shipped by USPS or UPS; delivery usually takes 3 to 7 business days after shipping. Delivery times are estimates and are not guaranteed.
19. Text messages
If you give us your mobile number, we may text you about your inquiries and bookings, including confirmations, payment and deposit reminders, required paperwork, and customer support. Message frequency varies, and message and data rates may apply. Reply STOP at any time to stop receiving texts, or HELP for help, or contact us directly. Wireless carriers are not liable for delayed or undelivered messages. Our Privacy Policy explains how we handle your number.
20. Photos, videos, and testimonials
If you send us photos, videos, reviews, or comments about your hunt, you grant HuntPartner a non-exclusive, royalty-free, perpetual license to use them, with your first name and home state, on our Website, social media, and marketing. You confirm that you own the content or have permission to share it. You may ask us at any time to stop using your content in future materials by emailing info@huntpartner.org.
21. Website use and intellectual property
The Website and its content, including text, photos, logos, the HuntPartner name, and the tagline "Find YOUR Hunt," are owned by HuntPartner or used with permission and are protected by copyright and trademark law. You may view and print pages for your own personal, non-commercial use, but you may not copy, republish, sell, frame, or scrape Website content without our written permission.
You agree not to misuse the Website, including by submitting false information, attempting unauthorized access, or interfering with its operation. Links to other websites are provided for convenience; we are not responsible for their content or practices.
22. Accuracy of hunt listings
Hunt descriptions, prices, availability, photos, and trophy information on the Website are based on information from Providers and are provided "as is." We work to keep them accurate, but errors and changes happen, and we may correct them at any time, including after you submit a request. Your written confirmation and the Provider's contract control. Nothing on the Website is legal, travel, medical, or immigration advice.
23. Privacy
We collect and use personal information, such as what you submit through our contact form or at checkout, as described in our Privacy Policy at huntpartner.com/privacy-policy/. To arrange your hunt, we share the information needed with the relevant Providers and, where required, with government agencies for licenses and permits. Card payments are processed by Square under its own privacy terms. The Website uses cookies to function and to understand how visitors use it, and you can unsubscribe from our emails at any time using the link in any email.
24. Governing law and disputes
These Terms are governed by the laws of the Commonwealth of Pennsylvania, without regard to its conflict-of-laws rules. Any dispute arising from these Terms, the Website, or a booking will be brought only in the state or federal courts serving Butler County, Pennsylvania, and you consent to their jurisdiction. Before filing any claim, you agree to contact us first so we can try to resolve it informally.
If any part of these Terms is found unenforceable, the rest stays in effect. Our not enforcing a provision is not a waiver of it.
25. Changes to these Terms
We may update these Terms by posting a new version on this page with a new effective date. Changes apply to Website use and new bookings from that date; confirmed bookings stay under the Terms in effect when they were confirmed, unless you agree otherwise in writing.
26. Your acceptance of these Terms
By using the Website, placing a store order, paying a deposit, or confirming a booking, you agree to these Terms. If you do not agree, please do not use the Website or our services. Continuing to use the Website after we post changes means you accept them. Your online acceptance of these Terms, including at checkout, is your electronic signature and has the same legal effect as a handwritten one, and HuntPartner's acceptance is given through its booking confirmation. If you book for a group, you confirm that you are authorized to accept these Terms for everyone in it and will share them with each member.
